Falling below target hours could indicate that worked time was not entered. Holes in your time calendar can also indicate that time was not entered. If time is missing from a prebill, perhaps it was entered, but never submitted. The following methods can be used to analyze these missing time scenarios.
Find that time now. Old Hours are less collectable
The amount of time that passes between when hours are worked and when they are billed directly correlates to the odds that those fees will be collected. Typically, the longer you wait to bill, the longer you will wait to be paid, if you get paid at all.
Finding time that was never entered
Use the Heat Map to see days where you have fallen below your target number of hours. This could indicate days where time worked was not entered.
Adding an Hours Worked or Hours to Bill Heat Map to your View:
- In Juris Suite, select Summary in the Views panel.
- Click the Views button at the top right side of the screen and click My Heat Maps.
-
Select the type of heat map that you prefer: Hours Worked or Hours to Bill. Clicking your selection will add the heat map to your screen.
Using the Heat Map
- The Heat Map will show daily productivity using colors to indicate how far above or below target values each day’s productivity has reached.
- Make sure to click your name in the Teams panel on the left side of the screen to assure that the Heat Map is showing values for the entire team.
- Hover the mouse over a calendar day to show the values for that day. Double-click a day to open up the time entries for that day. You can add a new entry right from the drill-down screen!
- To change the colors used in the Heat Map or to modify your target values, go to Tools > Settings > User Settings.
Go to your Time Entries calendar to view your entries in a calendar format. Holes in your calendar could indicate places where time was worked and never entered.
Opening the Time Entries calendar
- In Juris Suite, select the My Time button or click View > My Time.
- Click the Calendar tab.
- Review the calendar and look for ‘holes’ or places where you know time was worked but no entry exists. Looking at the surrounding entries should jog your memory of that day and help you to remember the lost time.
- Double-click the calendar slot to open a time entry for that day.
Finding time that was entered but not billed
If time was entered but never submitted, it will not be billed. To find time that was entered into the system and never billed; use either of these methods:
- Use the Time WIP by Billable Hours View to see the status of all Billable Time Entries and determine if there are existing entries that need to be submitted.
- Use the Filter in Time Entries if you are searching for missing Time for a particular date, Client, Matter, etc.
Add Time WIP by Billable Hours to your View:
- In Juris Suite, select Summary in the Views panel.
- Click the Views button at the top right side of the screen and click Time WIP.
- Select the Billable Hours view. Clicking your selection will add it to your screen.
- Right-click inside the view you selected. You have the option to view these statistics in Grid form, in Chart form, or both.
- Make sure to click your name in the Teams panel on the left side of the screen to assure that the view is showing your time.
- Hours that have the status of Draft or Ready to Submit, must be submitted before they can be billed. Items that are Pending Approval must be approved before they may be submitted and subsequently billed. Items that have been Rejected must be corrected and resubmitted before they can be billed.
Double-click to drill-down to the entries for each Status.
Using the Filter in Time Entries to find time:
NOTE: If you do not see the Filter icon, click the drop-down arrow beside the Layouts button and select Allow Filtering.
- Select the criteria you wish to filter by from the drop-down list. Only items that match the item you selected will be shown. For example, you may select the filter on the Status column and select the criteria of Draft from the drop-down list to see only items whose Status = Draft.
- Review the listed items, make changes as needed, and submit the time for billing by selecting the entries, right-clicking and choosing Submit.
