To open the Communication viewer, click the Communication item in the navigation bar -or- click the Communication tab at the top of the Collections screen.
Menu Options
When Communications is selected, the ribbon at the top of the Collections window provides the following options:
- Refresh - refresh the list of letters so that changes since the last refresh are visible.
- Print List - after previewing the printed format, print the list of letters currently displayed.
- Export List - save the list as an Excel file.
- Cancel - cancel the pending letter you have selected.
- Preview Letter - preview the selected letter.
- Email Timekeeper - email the selected letter to the billing timekeeper.
- Email Client - email the selected letter to the Client.
- Print Letter - print the selected letter.
- Print All - print all communications in the list.
Pending and Historical Communications
The Communication viewer has two sub-tabs: Pending and Historical.
The Pending tab presents a list of letters waiting to be sent. You can sort the list by time and date of creation, the creator of the letter, the client name, the matter information, and various billing information including email address, name, and mailing address. You can also right-click a column header for options to add and remove columns.
Once a letter has been emailed or printed, it is moved from the Pending tab to the Historical tab. A collection history event is created that details the method used to send the letter.
The Historical tab shows letters previously sent to your clients. You can sort the list by the time and date the letter was sent, the person who sent it, the recipient's email, the client name, the matter information, the billing name and the billing email. You can also right-click a column header for options to add and remove columns.
